How one organiser secured last-minute insurance to keep a major community fundraiser running smoothly
Steve, a member of the Rotary Club of Romsey Test in Hampshire, was helping to organise the club’s flagship event- the Romsey Relay Marathon, held annually at the historic Broadlands Estate. The event sees teams of up to 10 runners each completing a full marathon distance in relay format. In recent years, it has grown to host over 150 teams, attracting more than 1,500 runners and 1,000 spectators, raising upwards of £100,000 for over 50 charities and good causes in a single day.
To manage the busy 1.3-mile circuit, the organisers hired four motorised buggies to support the course logistics. Just days before the event, however, the buggy hire company requested proof of insurance-something the club’s standard policy did not cover.
With time tight, Steve reached out to several short-term insurers but was turned away due to the unusual vehicle type and short duration. Fortunately, he was signposted to the British Insurance Brokers’ Association (BIBA).

In a twist of luck, it turned out to be the same broker Steve used for his personal motorcycle insurance, though he hadn’t considered them for event cover.
Thanks to the timely support, the event went ahead without issue and was hailed as the most successful yet. “Without the insurance, we couldn’t have run the event. And it was the best one yet,” said Steve, who now plans to return to BIBA for support with future marathons.
